Opt-E offers services such as energy monitoring, advanced analysis and tailored strategies to improve energy efficiency in industrial operations, focusing particularly on pumps and fans within the maritime sector, land-based fish farming and other relevant industries.

At the core of Opt-E’s offering is the Opt-E SCAPE system, originally developed to optimise pump and fan energy consumption. Built on a modern Industry 4.0 architecture, SCAPE combines automation technology with domain-specific algorithms that process sensor data in real time. The system calculates savings on energy, cost and emissions, while ensuring stable plant performance. Results are visualised through a user-friendly dashboard, and an automated reporting module provides an overview of operational gains. SCAPE supports both new and existing facilities, making it suitable for retrofitting as well as greenfield installations.

CHALLENGE & SOLUTION

Client Needs 

Opt-E specialises in optimising energy usage in industrial settings, particularly within maritime operations, land-based fish farming and other sectors using pumps and cooling systems. Their approach involves installing sensors and industrial PCs equipped with control algorithms to regulate pump operations more efficiently. However, the initial stages of their process were entirely manual — technicians would board ships, record technical specifications of the installed pumps and cooling systems, and later prepare calculations manually using spreadsheets or even paper-based documentation.

The core challenge faced by Opt-E was the inefficiency and non-scalability of this manual workflow. Preparing calculations, defining control curves and creating reports required significant time and effort, making it difficult to streamline operations or take on more projects simultaneously. Additionally, these fragmented processes made knowledge-sharing across the team more difficult and error-prone.

The intention to integrate more advanced technology — particularly AI — introduced an additional layer of urgency. Opt-E recognised that in order to remain competitive and meet stakeholder expectations, they would need to enhance and partially automate their internal operations. However, they lacked in-house expertise in software development, data management and modern web-based system architecture — all of which were crucial to build the digital infrastructure they envisioned.

As a result, they sought an external software development partner who could help them digitise and centralise their project workflows. In the first phase, this meant building a web platform to store project data, perform pump calculations, generate savings reports and manage project progress — all in one place.

At the outset of this engagement, Opt-E was looking for a partner who could not only develop robust software solutions but also contribute strategic insights to refine their vision. They needed a team that could challenge their assumptions, help structure the digitisation process and identify which aspects of their workflow were most suitable for automation or future AI support. They expected DO OK to bring in broad experience in building scalable IT systems and a consultative approach to problem-solving — not just to execute tasks, but to co-create a sustainable solution roadmap. In particular, Opt-E was seeking guidance on how to translate highly technical, domain-specific engineering processes into a digital environment that would remain usable and adaptable in the long term.

Project Overview

The Opt-E project involved building a comprehensive software suite designed to streamline and digitalise critical aspects of the company’s operations. The final solution supports project management, energy savings calculations via the SCAPE module, customer relationship management and seamless integration with key third-party systems — all delivered through a centralised web-based platform.

Before this platform was developed, Opt-E’s engineers relied on manual methods for data collection, often using pen and paper or Excel spreadsheets during on-site visits to ship installations. The parameters gathered were later used in domain-specific polynomial calculations to determine optimal pump behaviour. This workflow was slow, error-prone and difficult to scale, making it challenging for the company to grow or manage more projects in parallel.

After the contract was signed, the first phase of the project focused on establishing the core structure of the Opt-E portal. We developed a Project Module that serves as a central hub for managing project data, pump serial numbers and the relationships between different system components. Engineers could now enter data directly into the platform, eliminating spreadsheet-based workflows. We also supported deployment on the client’s self-hosted infrastructure, including the configuration of Single Sign-On (SSO) using Authentik and Microsoft Entra ID to align with Opt-E’s internal IT policies.

With the foundation in place, the next stage centred around expanding the platform’s functionality and introducing the SCAPE Calculation Module. This included implementing Create, Read, Update and Delete (CRUD) operations and building a step-by-step wizard that guides engineers through inputting pump characteristics and performing technical calculations based on Opt-E’s proprietary formulas. The wizard produces reports that quantify energy savings, CO₂ emission reductions and financial benefits which are then used in technical offers to clients.

In the final phase we enhanced the SCAPE module further and developed integrations with key third-party systems. These included Jira for automatically generating task trees for the technical team, SharePoint for creating project-specific folder structures and TripleTex for syncing financial data across projects. These features were added after the core platform was completed, expanding the solution’s overall impact.

The result is a robust, secure and scalable platform that enables Opt-E to manage their pump optimisation projects from end to end. The system supports precise technical calculations, centralises project data and connects seamlessly with both internal tools and external services — laying the foundation for more consistent operations and future innovation.

 

Key Challenges We Solved

Throughout the development of the Opt-E portal, we encountered several challenges, mainly centred around complex domain-specific calculations and the need for seamless integration with third-party platforms such as Jira and SharePoint.

One of the most critical technical challenges involved the SCAPE energy savings calculations. These required not only mathematical precision but also high performance, as engineers needed instant feedback while working through the wizard interface. To meet this requirement, our team translated Opt-E’s domain formulas into optimised algorithms and implemented calculation logic that could handle a variety of edge cases. We conducted technical workshops with Opt-E’s engineers to ensure alignment with real-world use cases and performed performance tuning throughout development to maintain speed without compromising accuracy.

The integration of Jira and SharePoint posed both technical and process-related hurdles. The two systems use different APIs, authentication protocols and data structures, which introduced complexity in ensuring stable communication. To solve this, we designed and implemented custom intermediary service layers that acted as translators between the Opt-E platform and these third-party systems. This approach allowed us to abstract the complexity of external APIs while preserving flexibility and control over how data was transferred and presented.

What made DO OK’s approach stand out was our consistent focus on close collaboration, iterative delivery and proactive risk mitigation. By maintaining regular alignment sessions with Opt-E and applying an agile mindset grounded in strong communication and technical ownership, we were able to surface integration issues early, validate assumptions and adjust priorities as needed, ensuring continuous progress without delays.

 

Impact & Outcomes

The Opt-E project resulted in the successful delivery of a secure, centralised software suite that transformed how the company manages its operations. The solution replaced a fragmented, manual workflow with a scalable digital system, allowing engineers to manage technical projects, perform energy savings calculations and generate client-facing reports within one integrated environment.

From a business perspective, the new platform contributed to noticeable improvements in operational efficiency. Automating previously manual steps — including data collection, pump calculations and documentation — reduced the time required to complete individual projects and helped minimise the risk of errors. Integrations with Jira and SharePoint supported more structured workflows and smoother internal collaboration, while syncing with TripleTex improved visibility into project-related financials.

The SCAPE module also played a critical role in translating complex domain-specific knowledge into an accessible, guided process. This has helped make Opt-E’s technical workflows more consistent and easier to manage across the engineering team.
